Create data-driven workflows with VLOOKUP
Use VLOOKUP for Workflow to simplify and scale your HubSpot operations. It works just like the popular Microsoft Excel and Google Sheets spreadsheet functions.
VLOOKUP is a workflow action that allows you to use a property value from a record to look up information from an outside data source. You can use the information returned from VLOOKUP in your workflow to change property values, record owners, add advanced branching logic, and much more. VLOOKUP eliminates the need for excessive if/then statements and hard-coding logic in your workflows.
There are many use cases for VLOOKUP to help your organization such as:
- Assign a Contact owner based on the State or Postal Code.
- Add the appropriate sales tax to a deal based on the Company State.
- Calculate an order's shipping estimate by looking up a product's current inventory levels from a Google Sheet.
- These are just a few ideas. The possibilities are only limited by your imagination.
Your VLOOKUP source data can be managed in Google Sheets or uploaded to VLOOKUP as CSV data from Microsoft Excel. We plan on adding connections to more platforms, such as HubDB, Airtable, and Salesforce.

Use the VLOOKUP workflow action to look up a value from a connected data source. Use the result downstream in your workflow logic, such as writing the result back to HubSpot or in branch logic.
Google Sheets and Excel/CSV Sources
Manage data in Google Sheets and tell VLOOKUP to look there when processing a workflow request. Save CSV data in VLOOKUP through our administration UI. Simply copy/paste from Microsoft Excel or paste in CSV formatted data to upload it.

Contact Ownership Assigned Based on Postal Codes
The VLookUp app consolidated our workflows to assign ownership of contacts based on the contacts postal code from 50 to 2 workflows. Before we were creating large lists of postal codes for each county and state. Now we use a Google Sheet with a list of all of our postal codes and the associated contact owner. The VLookUp has solved our biggest headache.
Assigning contacts to contact owners based on the postal code associated with the contact.
