A Mixed Bag of An Interesting Proposal and Disappointing Outcomes

As part of CDAP program, we embarked on our journey with Cyberlobe with high hopes for improving our software systems to reduce our overhead costs and be more process efficient. What Worked: + Cyberlobe's planning stage seemed effective. They interviewed all staff who work with our software solutions to find out each person's pain points and ideal objectives. + In plan proposal, Cyberlobe offers 3 options for each category, which is helpful not just for budgeting but for solution comparison. + Technical Capabilities: There are glimpses of functionality and features that work as intended and that showed promise. Areas for Improvement: - CRM Solution Pricing Accuracy: Cyberlobe felt that HubSpot would be the best solution to our requirements. While it was very highly prices (~$20K + $5K implementation), it is a crucial part of our operations and I wanted it done right. Unfortunately, it quickly became apparent that this solution wasn't well thought through by Cyberlobe. The need for a Child object in HubSpot meant an unforeseen upgrade to an Enterprise version, raising our annual price by $11K to $31K! - Implementation Cost Increase: Along with the increase in cost for HubSpot came the increase in implementation cost. - Project Completion and Transparency: One of our core challenges was the project's completion phase. We received a request for final payment, before the project was finished. We believe in paying for completed projects, and unfortunately, ours remained in a state that we felt unfinished or just not what we were promised. - System Implementation Issues: HubSpot's integration of Child objects is poorly done. There's no way to link the Contact to the Child in marketing emails, which is pretty ridiculous and is widely complained about online. Cyberlobe should have been aware of this. An additional issue related to Deals. Cyberlobe configured our account to create multiple deals (under multiple Child objects) for a single contact. All of the Deals related to the same Child, which creates confusion and the illusion that there are really more deals than there really are. Cyberlobe's solution? Merge these multiple deals. This is a lot of work and is susceptible to human error (merging the wrong deals). - Training and Support: Our experience was further complicated by the lack of adequate training on using Lists and Workflows/Sequences effectively. This gap left us underutilizing the system, diminishing the value of our substantial investment. Towards the end of the contract, Cyberlobe talked about an ongoing maintenance contract. For me, you shouldn't have pay for support for something that wasn't implemented very well in the first place or given proper training. Overall Outcome: Given how expensive the CRM aspect ended up being, we couldn't afford any of the other project suggestions for our SIS or uniform ordering platform. The $13K for the planning phase should have been better spent getting accurate pricing.

An amazing person who does amazing work

We worked very closely with Jai and the team at Cyberlobe over the past couple of years and they have done just an amazing job of getting us on the platform. Jai knows lots of great tricks that the platform can do that has saved us a bundle of time. Would highly recommend working with Jai and Cyberlobe in future.
